Hi Wedding Vendor-
I am writing to you in regard to the wedding for Annette Monroe and Andrew Sanchez at the Ritz Carlton on June 28th, 2020.
We were hired by Mrs. Sanchez several months ago as the Wedding Planners and Month-Of Coordinators for her son’s wedding. Normally, I would be reaching out to you right about this time to introduce myself and to begin coordinating the timeline with you and all of the other vendors.
However, I recently received a call from Mrs. Sanchez, as I had projected, that out of necessity due to the current government restrictions on events due to COVID-19, they have had to make the very difficult decision to reschedule the wedding.
As professional wedding vendors, you and I both know how things are moving quickly and we are all broken-hearted in having to reschedule months and months’ worth of weddings for our clients. I want to send a virtual hug to you in this time as I personally know how challenging this has been for everyone in our industry as well as our clients.
Mrs. Sanchez is meeting with the venue today to nail down the new date but her goal is for next year in June 2021. As soon as we know the new date, either Mrs. Sanchez or I will reach out to you to confirm your availability.
We truly hope we can move forward with our entire original team of vendors.
In order to take our business to the next level, we have incorporated a special COVID-19/Pandemic SAFE BOOKING CLAUSE into all of our current and new agreements with our clients as well as choosing to waive any change fees or penalties normally associated with rescheduling events.
As a businesswoman who has owned and managed multiple businesses over the last 30 years, I wanted to LEAD THE CHARGE & THE INDUSTRY in making sure our current and future clients feel confident in continuing to do business with us. Because of this, we haven’t lost a single client to cancellation. All of our preferred vendors have followed us in doing the same. I will share the wording at the end of this email and truly hope you will be able to do the same thing for our mutual client, Mrs. Sanchez.
